Privacy Policy
This Privacy Policy explains how THE VISA SERVICES FZCO ("The Visa Services", "we", "us") processes personal data when you use The Visa Services plugin and the MCP server at mcp.thevisa.com (together, the "Service") through ChatGPT, Codex, Claude or another AI assistant. Our website www.thevisa.com is covered by our separate Privacy Notice.
1. Personal data we collect
We only receive what the AI assistant sends to the Service when you use it. Depending on what you do, this includes:
- Visa questions. The text of the questions you ask.
- Eligibility check. When you ask us to handle your visa: destination, citizenship, travel dates and purpose, whether you hold a UAE residence visa, its expiry date, how long you have lived in the UAE, whether it is on the passport you will use, your passport expiry date, whether the passport is biometric, the number of blank visa pages, and whether you are a domestic worker travelling with an employer and for how long you have worked for them. Only the facts you provide are sent.
- Application. If you choose to send an application: your phone number, your name if you give it, the number of travellers and a brief summary of what you asked us to do.
- Technical data. Data that the AI platform attaches to each request: pseudonymous conversation and user identifiers assigned by the platform, the name of the client application, the approximate location (city and country) and language set by the platform, the IP address and user agent of the platform's server, and the time of each request, together with the request and our response.
We do not ask for passport numbers, payment card details, health information, passwords or other credentials. Please do not share them, or information about criminal records, through the Service.
2. Why we use it
- to answer your visa questions from our knowledge base;
- to check whether we can take your visa case;
- to pass your application to our managers so that they can contact you by phone about your visa;
- to keep the Service working, secure and accurate: troubleshooting, support, quality review of answers, and telling apart test conversations by our staff from real ones.
We do not use this data for advertising, do not build marketing profiles from it and do not sell it.
3. Who receives it
- The Visa Services staff — managers who handle applications and staff who support the Service.
- Service providers acting on our behalf — our hosting and database providers, and the internal team messaging workspace where notifications about conversations and applications are posted for our staff.
- Authorities — only where we are required to by law.
The AI platform you use (for example OpenAI or Anthropic) processes your conversation under its own privacy policy.
4. How long we keep it
Questions, eligibility checks, applications and technical data are kept for 12 months and then deleted automatically. Notifications in our internal messaging workspace are kept for the same period. You can ask us to delete your data earlier (see section 5).
5. Your choices and rights
- You decide what to share. Your phone number is sent to our managers only when you provide it and ask to send an application.
- You can correct your phone number or name in an application by telling the assistant in the same conversation.
- You can ask us to access, correct or delete your personal data, or withdraw your consent, by writing to info@thevisa.com. Please mention the phone number or the application number you received.
- You can stop using the Service at any time by disconnecting the plugin in your AI assistant.
6. Security
Data is transmitted over HTTPS and stored on access-restricted servers. Only staff who need it for the purposes above can see it.
7. Children
The Service is not directed at children under 13. Applications must be sent by an adult or a parent or guardian.
8. Changes
We may update this Privacy Policy. The current version is always published at https://mcp.thevisa.com/privacy with its effective date.
